Etsy Messages: Six Sentences That Earn Five-Star Reviews
Sep 26, 2026 · Zelpura Editorial · All guides
Messages are where an Etsy shop is judged. Buyers cannot see your studio, your hands or your care — they see a parcel and a message. A seller who replies quickly, specifically and warmly earns repeat orders and five-star reviews; a seller who replies "shipped" earns a refund request. The difference is a few sentences, and those sentences take time you do not have.
This generator writes the six messages you send most often. Pick the type — order thank-you, review request, shipping notification, delay apology, issue resolution, or a repeat-customer hello — then fill in the buyer's name, the item, and any extra detail such as a date, a tracking promise or an offer. The output is a complete message, formatted with real paragraphs, ready to paste into Etsy Messages and personalise.
Worked example — shipping notification. Buyer "Sarah", item "personalised ceramic mug", extra "dispatched today with Royal Mail, tracking to follow". The generator returns: Hi Sarah, Good news — your personalised ceramic mug has been dispatched! Dispatched today with Royal Mail, tracking to follow. Delivery usually takes 2-5 business days after dispatch. If it has not arrived within that window, message me and I will open a trace with the carrier. Thank you for supporting independent making. The review request is the highest-value message you send. Most happy buyers never leave a review — not out of malice, but because nobody asked. One message, sent a week after delivery, roughly doubles your review rate. Note the structure: thank them, ask briefly, and offer to fix anything first. That last clause is what stops a hesitant buyer leaving three stars instead of messaging you.
Apologise specifically, then offer the exit. A delay message that says "sorry for the delay" and nothing else creates anxiety. A delay message that says what happened, what the new date is, and "if that no longer works I will refund you in full" creates trust. Offering the refund is counter-intuitive and it is why almost nobody takes it — buyers want the item, and they want to know you are honest.
Resolve in the first message, not the third. When something goes wrong, do not investigate first and reply later. Reply immediately with an apology and two concrete options — replacement or full refund — and let the buyer choose. The seller who replies within an hour with a solution almost never gets a case opened; the seller who replies in three days with an explanation almost always does.
Personalise the first line, always. A message that opens with the buyer's name and names the specific item reads as written for them. A message that opens with "Dear customer" reads as a template, even when it is one. The generator gives you the structure; the thirty seconds of personalisation is what makes it work.
Frequently asked questions
How quickly should I reply to Etsy messages?
Within 24 hours, and ideally within a few hours during your working day. Etsy surfaces response time on your shop, and fast replies measurably improve conversion and reduce cases.
When should I ask for a review on Etsy?
About a week after delivery — long enough for the buyer to have used the item, soon enough that they remember you. Ask briefly, thank them, and offer to fix any problem first.
What do I say when an order is delayed?
Apologise specifically, state what happened and the new expected date, and offer a full refund if the new timing does not work. Do not investigate first and reply later — reply immediately with the options.
How do I handle a complaint on Etsy?
Reply within the hour with an apology and two concrete options — a free replacement or a full refund. Sellers who resolve in the first message rarely have a case opened; sellers who explain in the third message almost always do.
