Etsy Profit: The Waterfall Between the Sale and Your Bank

Sep 26, 2026 · Zelpura Editorial · All guides

Revenue is a vanity number and profit is the only one that pays you. An Etsy order looks like a sale and behaves like a waterfall: the buyer pays one figure, Etsy removes a stack of fees, your supplier removes materials, the post office removes shipping, and the packaging supplier removes the box. What lands in your account is the remainder, and for most first-time sellers it is a surprise.

This calculator walks the whole waterfall in one pass. Enter the selling price and the shipping you charge, then your material cost per unit, the labour hours you spend, the hourly rate you believe your time is worth, packaging, and the postage you actually pay. Set the offsite ads tier and your average onsite ad spend per order. The output is profit in dollars, margin as a percentage, the effective hourly wage your labour actually earns, and the break-even price at which you make nothing.

Worked example. A ceramic mug sells for $32 with $4.95 shipping. Materials $7.50, one and a half hours at $18 an hour is $27, packaging $1.20, postage $5.40. Etsy fees: transaction $2.40, listing $0.20, payment $1.24, regulatory $0.18, offsite $0, onsite ads $0.35 — total $4.37. Costs: $41.10. Order value $36.95. Profit: minus $4.15. Margin: minus 11.2%. The mug is not a product; it is a donation with a shipping label.

Notice what the numbers say. The labour is the largest single cost at $27, larger than materials and fees combined. Sellers routinely set their hourly rate at zero, run the calculator, see a healthy margin, and pay themselves nothing. The effective hourly wage line exists to stop that. If it comes out below your local minimum wage, you are subsidising the buyer.

Margin bands matter more than margin. Under 12% and one bad review, one damaged parcel, or one offsite ad sale erases the product. Between 25% and 40% you can absorb a promotion and still breathe. Above 40% you can invest in photography and ads. The calculator prints the band so you are not arguing with yourself about whether a number is good.

Break-even price is the decision number. It answers: what must this cost before I lose money? If the market pays less than your break-even price, the answer is not a discount. It is a different material, a faster process, a smaller size, or a different product. Compare break-even price to what comparable listings actually sell for — not to the highest price you have ever seen in the category.

Shipping is where margin goes to die. Postage is a real cost and buyers resist paying for it. The calculator keeps shipping charged and postage paid as separate fields so you can see whether your shipping line is a pass-through, a profit centre, or a subsidy. If buyers in your category expect free shipping, fold the postage into the price and re-run — the transaction fee will rise, and the calculator will show you exactly how much that costs.

Run every product in your catalogue through this once, sort by margin, and you will find the three listings that fund the shop and the twenty that quietly consume it. That list is the most valuable half hour of work an Etsy seller can do.

Frequently asked questions

What is a good profit margin on Etsy?
Above 40% is healthy and leaves room for ads and promotions. 25-40% is workable. Under 12% is fragile — one offsite ad sale or one damaged parcel erases it. Most successful handmade sellers target 50% or more because their labour is the largest cost.

Should I include my own labour in the cost?
Yes. Leave it out and every margin you calculate is fiction. Set a realistic hourly rate — what you could earn doing something else — and the calculator will show you the effective wage your product actually pays.

Why is my Etsy profit lower than expected?
Almost always because shipping charged and postage paid were treated as one number, or because the offsite ads rate was left at zero. Check both. The second most common cause is forgetting the listing fee on renewals.

How do I calculate the price I need to charge?
Use the Etsy Pricing Calculator. It solves the equation backwards: enter your target margin, materials, labour and shipping, and it returns the price that delivers it.
